RECRUITING for EXECUTIVE DIRECTOR
REPORTS TO: Board of Directors

POSITION TYPE: Fulltime (40 hours per week)
COMPENSATION: Salary $60,000 - $65,000/yr
LOCATION: 199 Marina Way, Penticton, BC, occasionally off site
ABOUT THE PENTICTON ART GALLERY
The Penticton Art Gallery’s mission is to engage our diverse community in an ongoing dialogue about issues and ideas as expressed through contemporary and historic art practices and to provide opportunities for interaction with artists and the artistic process. The Penticton Art Gallery exists to exhibit, interpret, preserve, and promote our collective artistic and cultural heritage as expressed through the visual arts.
ABOUT THE ROLE
The Executive Director is accountable to the Board of Directors for providing leadership in all aspects of the Penticton Art Gallery. They will be responsible for organizational leadership, strategic planning, operations, human resources, financial management and community relations. The successful candidate will cultivate a positive, inclusive and creative environment while ensuring financial sustainability and cultural relevance.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Strategic Management
· Works closely with the Board of Directors to develop and maintain a 3-year strategic plan with input from staff and key stakeholders
· Submits an annual analysis of progress toward strategic initiatives
· Reports and recommends action to the Board for risk management, operations and succession planning
· Prepares an annual plan for exhibitions, programs and fundraisers with input from the staff team
· Provides an annual report for recent acquisitions, suggestions for de-accessioning and stewardship of the Permanent Collection
Financial Management
· Prepare and implement quarterly budgets in a manner consistent with business practises
· Oversee bookkeeping and financial reporting
· Prepare, submit and complete all necessary requirements for successful grant applications
· Identify and secure additional grants through ongoing research
· Negotiate for funding with municipal and regional governments and other agencies
· Ensure accountability and control procedures for financial management of the Gallery
· Coordinate and plan fundraising events collaboratively with staff and the Board
· Accountable for the Gallery’s operations in compliance with the BC Society’s Act
Operational Management
· Hire, train and support staff and volunteers
· Conduct annual performance reviews for staff
· Provide governance for Volunteer committees
· Perform administrative and facility management for the efficient operation of the Gallery including security, safety and janitorial oversight
· Oversee facility rentals
· Secure the lease agreement with the city annually
Programming, Exhibitions and Curation
· Develop an exciting schedule of exhibitions based on the Permanent Collection
· Ensure the Gallery’s exhibition programming aligns with its mission and engages diverse audiences while offering educational opportunities
· Actively seek new artists, curatorial collaborations and innovative ways to expand the Gallery’s offerings
Community Engagement and Collaboration
· Collaborate with guest curators and artists to raise the profile of visual arts in the community
· Celebrate accomplishments with the Board, staff, volunteers and members
· Cultivate positive relationships with all external stakeholders including cultural agencies, institutions and professional associations, volunteers, donors and the public
· Establish a donor sponsorship program engaging individuals and businesses to support the Gallery’s mission and initiatives
· Serve as the spokesperson for the Gallery at meetings, conferences and in the public domain
Marketing and Promotion
· Develop and implement marketing strategies
· Ensure brand consistency on the website, social platforms and across the organization
· Direct staff in scheduling promotional initiatives across print, press releases and social media
· Manage media relations and partnerships with cultural organizations
Additional Responsibilities
· Organize fundraising events and exhibition openings
· Maintains the highest standard of Collection Management for Permanent Collection
Qualifications
· A minimum of 5 years experience working in the arts sector
· A post secondary degree in art or equivalent professional experience considered
· Demonstrated expertise in arts administration, nonprofit management or related field
· Proven experience in stakeholder relations, fundraising and community outreach
· Experience in curatorial programming and exhibition planning
· Exceptional organizational, leadership, financial management and communication skills

CALL FOR ARTIST INSTRUCTORS
The Penticton Art Gallery is actively seeking to expand its offerings of adult and youth programming. We invite qualified and experienced artist instructors who have ideas for workshops and classes to submit a proposal today.
We are developing our program for the 2026 calendar year and are open to ideas for single session workshops, to multiple classes scheduled over several weeks.
Proposals should include the following:
· A description of the proposed course/workshop and the target audience (youth, adult)
· A few examples of your work (please send .jpeg files) in the suggested medium of your proposal
· Relevant previous teaching experience and education
· Availability – days of week or specific months you will be available
Successful applicants will be contracted as Independent contractors. Remuneration will be based on skills and experience and in keeping with comparable organizations. All instructors will be required to submit a Vulnerable Sector Police Check prior to the signing of a contract.

ADMINISTRATION AND FINANCE COORDINATOR (POSITION CLOSED)

ABOUT THE ROLE
The Administration and Finance Coordinator is responsible for the efficient day-to-day administration and financial management of the Gallery. This role supports the Executive Director and Board in ensuring sound financial practices, accurate record-keeping, and the smooth operation of all administrative systems. The ideal candidate is organized, detail-oriented, and committed to supporting the Gallery’s mission to foster community engagement and appreciation of the visual arts.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Finance and Administration
· Performs bookkeeping tasks such as invoicing, journal entries, accounts receivable and payable, bank and credit card reconciliation, payroll, monthly source deductions, quarterly GST and PST filings, and budget tracking to ensure that the gallery remains in good financial standing.
· Responsible for maintaining petty cash and weekly bank deposits.
· Manages general administration and assists the Executive Director/Curator in the day-to-day operations of the gallery. Will carry-out clerical duties such as answering phone calls, responding to emails, preparing documents, including office correspondence and memos, managing special deliveries, photocopying, and filing appropriate documents as needed.
· Supports the Gallery operations by maintaining office systems, scheduling, and keeping accurate records of staff hours, vacation, personal and sick days.
· Maintains office services by organizing general office files, including vendor files and other files related to operations and procedures, by preparing payroll, assisting in designing filing systems, purchasing office supplies and equipment, maintaining office inventory and equipment.
· Prepares the Annual Charity Return and gathers information for the gallery accountant for the year-end financial review.
· Ensures that the grant proceeds are spent in accordance with the grant requirements.
· Tracks and issues charitable donation receipts.
· Achieves financial objectives by preparing an annual budget in conjunction with the Executive Director/Curator and staff, scheduling expenditures, analyzing variances, and initiating corrective actions.
· Oversee the ongoing maintenance of the building and follow up with any required actions brought to light through our annual safety inspections.
· Ensures the gallery’s insurance is up-to-date and completes various insurance applications on an annual basis.
Additional Responsibilities
· Assists the Executive Director/Curator in playing an active role in the art community, attending meetings or other social events as needed and directed by the Executive Director/Curator
· Handle inquiries from, and share information with, the public, clients, and stakeholders, as needed, under the direction of the Executive Director/Curator
· Assist with other duties, such as occasional front desk relief, as needed.
Some evening or weekend work may be required during exhibitions or special events
Qualifications
Minimum 2–3 years of experience in bookkeeping and office administration, preferably in a non-profit or arts environment.
Proficiency in accounting software (Sage 50) and Microsoft Office Suite (especially Excel).
Familiarity with non-profit financial reporting and CRA compliance requirements.
Strong organizational skills with exceptional attention to detail and accuracy.
Assets
Ability to manage multiple priorities in a dynamic, team-oriented environment.
Excellent written and verbal communication skills.
Appreciation for the arts and alignment with the Gallery’s community-focused mission.
